How we work
What happens after you say yes: our first 90 days with you
After you approve the proposal, your strategist holds a kickoff with your team, gets access to your accounts, which stay in your business’s name, and tests the tracking before any ad spend. Then the work in your plan starts, and each month you get a report of leads by source. You can cancel with 14 days’ notice.
From day one
What holds from the first day
Whatever is in your plan, these stay the same for as long as we work together.
One strategist as your contact
One strategist leads your account and is the person you talk to. Behind the strategist are the specialists your plan needs, such as paid search, SEO, content or web. Our About page shows how each client’s pod is built.
Your accounts stay in your name
Your ad accounts, your analytics, your Business Profile and your website stay in your business’s name, and we work in them as users or managers. You pay Google directly for your ads, with no markup from us. Call tracking, forms and reports stay yours if we part ways.
No minimum contract
You can cancel with 14 days’ notice. For SEO and AI answers, we recommend planning for at least 4 to 6 months, because that is how long the results take to show. That is a recommendation, not a commitment.
Your part
What we ask from your team at the start
Before the kickoff we send a short questionnaire, with the most important questions first. Whatever you can't fill in, we go through together at the kickoff.
-
Access to your accounts
Manager or user access to your Google Ads, analytics, Business Profile and website. If you have no Google Ads account, we create one in your business’s name and you add your own card for billing. If Google asks for advertiser verification, someone at your business completes it; we can’t do it for you.
-
Your priorities
The services and locations you want more business for, in order, and the areas each location serves.
-
Who decides
Who approves budgets and changes, who should get the reports, and who can tell us whether a lead was a good one.
-
What a good lead is
What counts as a qualified lead for you, who answers your calls and forms, and your opening hours, weekends included.
-
Your brand and offers
Your logos, photos and brand rules, and any offers or promotions we may use in ads and on your pages.
-
How you like to work
The channel you want us in: a shared Asana project, Google Chat, Slack or email.
The first 90 days
The first 90 days, step by step
The steps run in this order. Which of them apply depends on the work in your plan.
-
Kickoff
We meet with the people who make the decisions and the people who answer your leads. Together we agree on the goals for each location, what we will measure, and what success looks like at 3, 9 and 12 months. We also settle how and how often you hear from us.
-
Access, in your business's name
You add us to your accounts as a user or a manager, and nothing moves into our name. For Google Ads we link your account to our manager account, or create a new one in your business’s name, and you pay Google with your own card.
-
Tracking, tested before any spend
We set up conversion tracking for calls and forms, give each source its own tracked number where call tracking is in your plan, and leave our own visits out of your analytics. Then we send a test form and make a test call from a phone, and check that both arrive and are counted. No ad budget is spent before that.
-
A read of what brings leads today
For each location and source, we look at what brings calls and forms today, how your business shows up in Google Maps, search and AI answers, and how the website holds up: broken pages, redirects and speed. This read sets the order of the work.
-
Google Ads go live
Search campaigns come first. We check every ad and landing page against Google’s policies and send the ads for review with the campaigns paused, so the approvals are in before launch day. Campaigns start on a Monday. For the first two days we check for disapprovals twice a day, and in the first week we read the search terms twice and exclude the ones that won’t bring customers, with no change to bids or budgets yet. Bids stay manual until the account has 15 to 20 verified conversions.
-
SEO and AI answers: the base first
The fixes from the read come first: technical problems, a complete Business Profile for each location, and listings that match your website. New and rewritten pages follow, in the order the read set. Each content change goes on a shared roadmap board, where your team reviews it and follows it to its live date. A health page goes live only after your clinic approves it.
-
A report every month
Each month you get a report of leads by source for each location, with what changed and what comes next. By day 90 you have three of them, so you can see which sources are moving.

Big brands, multiple stakeholders and approvals

“While I was Chief Creative Officer of Ogilvy Canada, Roman and I worked together on the Mondelez account. Roman showed technical expertise in SEO while understanding the marketing goals of the campaign. Most importantly, he demonstrated the ability to deliver results while working on a project with multiple decision-makers and stakeholders. If you have an SEO-related project, I would highly recommend them.”
More from our clients
A very professional and dedicated company! Roman and his staff is exceptional and always willing to help and optimize the service provided.
I needed to create a website for my project, but I didn’t think it would be so difficult to find someone who would provide good service. Roman's team, however, did an excellent job and was right on schedule. Our website is now even better than I had hoped to see. Their work was outstanding!
Hire them to help with the website and YouTube Promotion. After years of working with "music promoters" they were a breath of fresh air. Finally our subscribers started to grow and we could see actual effect of marketing, not just paid views.
FAQ
Questions about working with a marketing agency
What happens first after we sign?
Your strategist sends a short questionnaire and sets a date for the kickoff with your team. At the kickoff we agree on goals and what we will measure, and you give us access to your accounts. We set up and test the tracking before any ad spend, and then the work in your plan starts.
What do you need from us?
Access to your Google Ads, analytics, Business Profile and website; the services and locations you want to grow, in order; who decides, who gets the reports and who can judge lead quality; what a qualified lead is for you; and your logos, photos and any offers. The questionnaire asks the most important questions first, and we go through the rest at the kickoff.
Who is our contact?
One strategist leads your account and is the person you talk to. The specialists your plan needs work behind the strategist, and our About page shows how each pod is built.
Do we own the accounts?
Yes. Your ad accounts, analytics, Business Profile and website stay in your business’s name, and we work in them as users or managers. If you have no Google Ads account, we create one in your business’s name and you pay Google directly with your own card. Call tracking, forms and reports stay yours if we part ways, and a website we build is yours, with its domain and logins.
How long until we see results?
Google Ads can bring leads in the first weeks, once the tracking is tested and the ads are approved. SEO and AI answers build over months, which is why we recommend planning for at least 4 to 6 months. Your report shows leads by source from the first month, so you can see what is moving.
Is there a minimum contract?
No. You can cancel with 14 days’ notice. For SEO and AI answers, we recommend planning for at least 4 to 6 months, because that is how long the results take to show. That is a recommendation, not a commitment. For short-term work, only paid campaigns fit, and they also need time to bring results.
What do we pay at the start?
The monthly fee in your proposal and, if Google Ads is in your plan, the one-time campaign setup fee of $1,600 (USD). Ad spend you pay to Google directly, with no markup from us. Our pricing page explains the rest.
Can you guarantee results?
No. Google and the AI tools decide what they show, and bids move with competition and season. Before we start, we agree with you what we will measure, and each month’s report shows your leads by source.
Where do we send questions about our proposal?
Reply to the email your proposal came in, or write to us through our contact page. If we haven’t talked yet, start with the free online presence check on this page, or the free audit if you run senior living communities.
