Reviews and reputation

Review and reputation management, from the request to the reply

Customers read your reviews before they call or book. We send a review request after every job or visit, reply to every review on Google, Yelp and the other sites your customers read, and have a plan ready for bad reviews and public complaints. Each month you see new reviews and the rating for every location.

The problem

Most happy customers are never asked for a review

Customers choose between businesses on Google Maps, in Local Services Ads and in the answers AI assistants give, and the star rating and the latest reviews are often the first thing they read.

Reviews come in when someone remembers to ask, so the count trails the work you do, and a bad review can sit for weeks without a reply. Review management makes asking and answering part of every job.

Signs your reviews need a system

Fewer reviews than finished jobs

You finish far more jobs or visits than you get reviews for, because asking depends on who is on shift that day.

One location rated lower

One location has fewer reviews or a lower rating than the others, and customers near it see that rating first.

Reviews with no reply

Good reviews go unthanked and bad ones go unanswered, so readers only hear the customer’s side.

Pages you didn't know about

Yelp, the BBB or an industry site has a page for your business with old hours, a wrong number or reviews no one has answered.

The rules

Review management that keeps to Google's and Yelp's rules

Google’s help pages encourage businesses to ask customers for reviews. Its rules, and Yelp’s, are about how you ask, and we follow them on every account.

Every customer is asked

Google doesn’t allow asking only the customers you expect to be happy, or offering a discount, a gift or payment for a review. Every customer gets the same request after each finished job or visit, with nothing offered in return.

Yelp gets its own approach

Yelp asks businesses not to request reviews at all. On Yelp we claim and complete your page, keep it consistent with Google and answer every review, and we never send Yelp review requests.

Your team keeps its routine

The request goes out from the system where your team already marks jobs complete, so nobody has to remember to ask. You approve the wording once and we write the replies; only a reply to a 1 or 2 star review comes to you before it goes up.

What's included

What our review and reputation management covers

The work runs every week, for every location. The Google Business Profile itself, with its categories, services, photos and posts, is our Google Business Profile service.

A review request after every job or visit

Each customer gets a short email, or a text if they agreed to receive texts, once the job or visit is marked complete, and one reminder a few days later. The link opens the review form of the location that served them.

A reply to every review

Every review on Google, Yelp and the other review sites we look after for you gets a reply, usually within two business days, in wording you approved. Good reviews get a thank-you, and the rest get a calm, specific answer.

A plan for bad reviews and complaints

A 1 or 2 star review sends you an alert with a reply drafted for your approval. A review that breaks the site’s rules, such as one from someone who was never a customer, is reported with the evidence. Complaints on sites such as the BBB get an answer too.

Review sites beyond Google

We claim and complete your pages on Yelp, the BBB and the sites your customers read, such as Angi or Houzz for home services, Healthgrades for clinics and the senior living review sites families read, and keep them consistent with your Google profile.

Every location on its own

Each location gets its own requests, replies and numbers, so a location with fewer reviews or a lower rating gets the attention it needs.

Process

How we run review and reputation management

  1. Check your reviews today

We read the reviews and ratings for every location on Google, Yelp and the sites your industry uses, and see how many finished jobs are asked for a review. You see where each location stands before anything changes.

  2. Set up the requests

You approve the request and reply wording. We connect the requests to the system where your team marks jobs or visits complete, and send each customer to the review form of the location that served them.

  3. Reply and watch

Every review gets a reply, usually within two business days, in the wording you approved. A 1 or 2 star review sends you an alert with a reply drafted for your approval, and a review that breaks the site’s rules is reported with the evidence.

  4. Report every month

Each month you get new reviews, the rating, requests sent and replies for each location, with what changed and what we work on next.

Reporting

Your monthly reviews report, location by location

Each month you get a report for every location: new reviews on Google and the other sites, the average rating, how many finished jobs got a request, the replies, and what changed. No one can promise a review count or a rating. What we promise is that every customer we can contact is asked the same way, every review gets a reply, and the report shows how it is going.

“While I was Chief Creative Officer of Ogilvy Canada, Roman and I worked together on the Mondelez account. Roman showed technical expertise in SEO while understanding the marketing goals of the campaign. Most importantly, he demonstrated the ability to deliver results while working on a project with multiple decision-makers and stakeholders. If you have an SEO-related project, I would highly recommend them.”

More from our clients

  • A very professional and dedicated company! Roman and his staff is exceptional and always willing to help and optimize the service provided.

    Moshe RPsychotherapist
  • Our company decided to try a new ad campaign to improve our conversion rate. Frankly, I was starting to get discouraged with crazy PPC prices. Roman not only explained all the benefits of different types of advertising but also chose the most effective one for our business. The results of our PPC campaign were good enough for us to sign a long-term contract with them. They are all about ROI.

  • I needed to create a website for my project, but I didn’t think it would be so difficult to find someone who would provide good service. Roman's team, however, did an excellent job and was right on schedule. Our website is now even better than I had hoped to see. Their work was outstanding!

  • Hire them to help with the website and YouTube Promotion. After years of working with "music promoters" they were a breath of fresh air. Finally our subscribers started to grow and we could see actual effect of marketing, not just paid views.

FAQ

Questions about review and reputation management

What does review and reputation management include?

Our review management service asks every customer for a review after each job or visit, replies to every review, keeps your pages on Yelp and the other review sites complete and current, and handles bad reviews and public complaints, location by location, with a report each month. It covers reviews and complaints about your business on review sites and listings. It doesn’t cover removing news articles or other search results, which some reputation management services offer.

Is it allowed to ask customers for reviews?

Yes, on Google, as long as every customer is asked the same way and nothing is offered in return. Google’s rules don’t allow asking only the customers you expect to be happy, discouraging bad reviews, or offering a discount, a gift or payment for a review. Yelp is different: it asks businesses not to request reviews at all, so on Yelp we look after your page and answer reviews, and we don’t send requests.

Can you remove a bad or fake review?

Only the person who wrote a review, or the site that hosts it, such as Google or Yelp, can remove it. The sites remove reviews that break their rules, such as a fake review, one from someone who was never a customer, or one from a competitor or a current or former employee. When a review breaks the rules, we report it with the evidence and follow it up. We can’t promise that a review will come down. A real customer’s bad review stays, so it gets a calm, specific reply, and you decide whether to contact the customer.

How do you reply to reviews?

You approve the wording at the start: how we thank people, what we say when something went wrong, and anything a reply must never mention. Then every review on Google, Yelp and the other review sites we look after for you gets a reply, usually within two business days. A 1 or 2 star review sends you an alert first, with a reply drafted for your approval, and the reply goes up once you approve it.

We run a clinic. How do you answer patient reviews?

A reply must never confirm that the reviewer is a patient or mention a visit or a treatment, even when the patient wrote about it first. Patient privacy laws apply to replies too: HIPAA in the United States, and PIPEDA and provincial laws such as Ontario’s PHIPA in Canada. So each reply thanks the reviewer in wording the clinic approved and, when the review raises a problem, invites them to call the clinic directly. Our guide to responding to patient reviews has examples.

Will our staff have to ask customers for reviews?

No. The request goes out when a job or visit is marked complete in the system your team already uses, such as a CRM, job software or a booking system, so nobody has to remember to ask. Where a system can’t pass on finished jobs, someone on your team sends us a regular export instead. Your part is approving the wording at the start, approving each reply to a 1 or 2 star review, and naming one person we can reach about it.

Do more reviews bring more calls?

Reviews are one of the things that decide who gets the call. Google Maps and Local Services Ads weigh review count and rating alongside distance and a complete profile, and AI answers draw on reviews when they name a business. Our Local Services Ads page covers the ads themselves. Each month we report new reviews and the rating for every location and, with lead tracking, the calls from each Business Profile, so you can see both side by side. We don’t promise a review count, a rating or a number of calls.

Do you manage our Google Business Profile too?

Yes, as its own service. The profile’s categories, services, photos, posts and other details are our Google Business Profile service. This page covers the reviews, on the profile and on the other sites.

Can you show results from a real client?

We show a client’s numbers only with their permission, so the report on this page uses sample figures. What our clients say about working with us is on our testimonials page.
